Employee Dispatching

Click the tab labeled Dispatching in the Employee/User Maintenance form to add Dispatch Notify preferences and labor rates for the employee.   Screen Shot

  1. If this employee is available for dispatching, check the Valid Assignment box.  This box must be checked, before the system will assign a work order to an employee.

    Note:   A CSR must also be recognized as a valid assignment, making it possible for them to be assigned orders.   If for some reason the vendor is unknown at the time of the call, the order can be created using the CSR as the assignment and an order number given to the caller.   The CSR would then call the facility manager for clarification and reassign the order.

  2. Complete all of the labor rate fields, Regular, Overtime, Premium, and Mileage Rate.

  3. Add the employee AR Description used for invoicing purposes.

  4. Select (or deselect) all Dispatch Notify Options that apply to this employee.

    dot.gif Send a Fax is automatically selected when a Fax Phone is entered on the Business Information tab.

    dot.gif Send a Page is activated when the Pager Phone# is added in the section labeled Pager Setup.  The user must then select this option as the dispatch preference. 

    dot.gif Send an Email is automatically selected when an Email Address is entered on the Personal information tab.

    dot.gif Select Direct Print, and enter the Printer Name.

  5. If the employee is authorized to receive TRS Auto Dispatch Orders, check the box labeled Auto Dispatch.

    Note:   The TRS web page provides an auto dispatch of work orders, using a simplified problem code list.  The orders are created and dispatched without intervention from service desk employees.

  6. When all information for the new employee has been entered, click Update.
