First and Goal Scores Greater Efficiencies with CrossForm®  ASP, CRS, and TAWS

As the company that manages Qwest Field, home of Seattle Seahawks and Seattle Sounders FC, and Qwest Event Center, First and Goal, Inc. (FGI) is responsible for maintaining over 1.8 million square feet of  facilities. With a team of 15 maintenance engineers, 65 housekeeping staff, and 550 special events staff, First and Goal requires a system that will allow efficient and accurate processing of work requests, asset management, and time tracking.  All equipment and facilities at Qwest Field and Event Center must be closely monitored and maintained to ensure peak performance to accommodate all Seahawks home games, many levels of soccer competition, concerts, and special events at this venue. Safety and customer satisfaction are daily concerns.

How did First and Goal gain better control of its assets and increase productivity?

Facility managers required a better way to track over 17,000 assets and equipment, ranging from HVAC equipment to beer dispensers to sideline benches, and everything in between. Technicians needed an easy to access and easy to use system for managing work orders and tracking labor hours. And staff throughout the complex would benefit from a simple way to input work requests and check the status.

The solution: CrossForm. Mainstream Software’s project management team worked with FGI to transfer the data from its existing system into CrossForm and updated the information maintained within the database, allowing for an expedited implementation and ensuring the data for assets, locations, and vendors was accessible and current. Through the CrossForm Main Client, FGI is able to efficiently create and dispatch maintenance requests, generate Preventive Maintenance tasks that automatically dispatch on a set frequency, maintain detailed information pertinent to assets including order history, track vendor insurance compliance, and capture technician time and cost information that can be exported to their payroll and accounting systems.

Technicians are able to manage work orders through CrossForm’s Technician Activity Web Site (TAWS).  Accessing a secure website, technicians can view and update currently assigned work orders, generate new requests, and input labor hours. The easy-to-use website is an important tool for the maintenance team at Qwest Field.

CrossForm’s Client Request System (CRS) is a web portal where staff throughout the complex can log in and input work requests. Work orders are then routed to the main dispatchers for an order to be  generated. Detailed order history provides status of requests within the system, and staff can provide  feedback on the quality of service received during the completion of the work order.

Reporting was a major requirement for First and Goal in evaluating new software products. The State of  Washington Public Stadium Authority is the public partner in the development of Qwest Field, and is responsible for monitoring the construction and ongoing operation of Qwest Field and Event Center. This partnership requires First and Goal to submit regular maintenance plans and reports to the state authorities. In the past, the complex reports would take up to three weeks to compile. Through CrossForm’s advanced reporting capabilities, the report can be generated with a few clicks of the mouse, retrieving and organizing the required data and saving valuable hours.

FGI went live with CrossForm on March 1, 2010. Since then, Mainstream Software has continued to work with the staff to take advantage of the features and functions within the suite of products, enabling FGI to work more efficiently, plan more effectively, and achieve better results. FGI will be implementing CrossForm at the Seahawks’ practice facility later this winter.
